Expected attendance is only part of the planning picture. Coffee Malem looks at when guests are most likely to order and whether demand will arrive gradually or within a concentrated period.

Registration, session breaks, intermissions, meal periods, shift changes, and scheduled activations can all affect the appropriate staffing and number of service points.

Vehicle Access & Placement

The Coffee Truck needs direct vehicle access to the operating area, safe and level placement, and enough surrounding space for guests to approach, order, and move away from the service point comfortably.

Truck dimensions, gates, loading routes, parking restrictions, temporary closures, or venue-specific placement rules should be reviewed in advance when applicable.

Guest Flow & Service Points

For some events, one Coffee Truck provides the appropriate central service point. Others work better with the truck supported by one or more staffed coffee carts.

Multiple service points can also help when guests are spread across a large venue or when several parts of the event become busy at the same time.

Venue Requirements

Loading instructions, security procedures, setup windows, utility restrictions, vendor requirements, and other site-specific conditions can be reviewed during planning.

Coffee Malem can provide a Certificate of Insurance and name the client, venue, or other required party as an additional insured when requested.

Outdoor Conditions

Weather, surface conditions, shade, guest circulation, and seasonal conditions may affect placement and service planning for outdoor events.

If the Coffee Truck cannot be positioned appropriately, Coffee Malem can recommend an alternative cart-based configuration.

Branding & Production Timing

For branded events, customization may include branded cups, menu displays, signage, custom drink names, selected flavors, and other guest-facing elements.

Available options depend on the project, production requirements, service pace, and lead time.

Booking Basics

Coffee Malem has a two-hour service minimum.

Typical bookings include professional barista service, unlimited drinks from the agreed menu during the service window, drinkware, alternative milks, and ice.

Three to four weeks is ideal, particularly for larger events, branded activations, or venues requiring additional coordination. Shorter-notice bookings may be possible depending on availability and requirements.

For indoor venues or locations where the truck cannot be positioned close to guests, Coffee Malem may recommend coffee carts or another configuration.
